WHAT INFORMATION I COLLECT

I currently collect and process the following information:

• Venue/delivery address 

• Preferences and interests relevant to your enquiry 

• Photographs for design inspiration/reference 

• Logistical details of your event itinerary 

• Website user statistics 

HOW I COLLECT INFORMATION

I collect information submitted by you via forms on my site. I also gather information from you through correspondence via telephone, emails or otherwise. This includes information you provide when you make an enquiry, discuss an existing booking, engage with social media or report a problem with my website or services.  

I may receive additional logistical information about your event from third parties (including, for example, venue management and security, event planners or other event suppliers you may have booked).  

Website usage is tracked by Cookies.  A cookie is a small file which asks permission to be placed on your computer’s hard drive. Once you agree, the file is added and the cookie helps analyse web traffic or lets you know when you visit a particular site. Cookies allow web applications to respond to you as an individual. The web application can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.

WHY I COLLECT INFORMATION

Under the General Data Protection Regulation (GDPR), the legal basis I rely on for collecting data is to take the specific steps of developing a personalised design and quote which may lead to an order confirmation, resulting in a contract existing between you and I.

Similarly, your consent is the lawful basis I rely on for collecting website usage data to improve my online services and website experience. When entering my website for the first time you are prompted to express your consent on the use of cookies. You can choose to accept or decline cookies. You can also modify your browser setting to decline cookies if you prefer.

WHAT I DO WITH INFORMATION

I use the information you have given me in order to:

• Develop personalised designs and quotes.

• Contact/visit you (or your venue) to coordinate installation logistics. This might include conversations with relevant third parties about your event (including, for example, venue management and security, event planners or other suppliers you have booked).

• Process your order confirmation (which forms our contract and associated invoice(s) .

• Carry out my obligations relating to our contract.

• Notify you about changes to a service.

• Arrange deliveries .

• Improve my services and website experience. 

• Maintain internal record keeping .

DATA RETENTION

I am committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, all data (including emails, contact details, invoices, enquiry responses, notes and internal records) relating to your enquiry and booking are stored digitally and are password protected. Only I have access. 

I retain data for no longer than is necessary. What is necessary will depend on the time-frame and circumstances of each enquiry. I will only retain your information for as long as you are a customer which includes delivering my services, meeting legal or regulatory requirements, preventing fraud, resolving disputes, preventing abuse or to overall enforce my Terms and Conditions. 

I conduct regular data audits to manage and mitigate risks. This contains information on what data is held, where it is stored and how it is used. 

I permanently delete data when there are no longer any active requirements.

YOUR DATA PROTECTION RIGHTS

Under data protection law, you have rights including:

• Your right to erasure - You have the right to ask me to erase your personal information in certain circumstances.

• Your right to data portability - You have the right to ask that I transfer the information that you gave me to another organisation, or to you, in certain circumstances.
